Know Your Main Point
Before you record, decide why you are sending the message. Do you want to change a time, ask a question, or share news? Keep one main point in each short message. This helps the listener follow.
Start with Context
Say hello and give the useful detail first. You can say, “Hi Ana, this is about tomorrow’s class.” The listener now knows the topic. You do not need a long opening or many extra words.
Speak Slowly and Clearly
Hold the phone near you, but not against your mouth. Use short sentences. Say names, times, and numbers carefully. If you make a small mistake, correct it and continue. You do not need to start again.
End with the Next Step
Tell the listener what you need next. Try, “Please tell me if six o’clock works.” End with thanks and your name if needed. Listen once before sending when the message contains an important time or place.
